Data entry can be done either by quick manual entry or by using an optical scanner. The Multi-User version of Mac School allows for more than one user to be entering attendance information at one time. Entering attendance is a fast and simple process when you use the Mac School administration system. The following demonstration will show you how the easy to use Macintosh graphic interface allows for quick entry of daily attendance. -- part contents for card part 3 ----- text ----- The individual keeping track of students’ attendance can keep a record of the reason for the students’ absence, the time that they arrived or left school or the type of field trip they are on. -- part contents for card part 4 ----- text ----- Depending on how the attendance information reaches the individual responsible for data entry, the individual has the option of viewing the student database in a manner that is most convenient for them. The options for viewing students include viewing either All Students, By Grade, or By Homeroom. These categories may be ordered either alphabetically or by ID#. -- part contents for card part 5 ----- text ----- Entering period by period attendance is just as easy! When CSL Scheduler is used to create your school’s master timetable class rosters may be transferred directly into CSL Attendance. Mac School’s module integration relieves you of the chore of re-entering class lists in the attendance module making data entry by class very simple. Again, the multi-user version of Mac School allows multiple station data entry. Let’s look at how period attendance is entered. -- part contents for card part 6 ----- text ----- If your school keeps both Period as well as Daily attendance, Mac School has created a way in which to reduce your workload. Using Mac School you only need to enter the Period Attendance Codes (by scanning or manual entry) - then use the Mac School feature called Period to Daily link which will read the students’ period codes and convert them to a matching daily code. -- part contents for card part 7 ----- text ----- This dialog allows you to link or ‘map’ period to daily codes to suit the needs of your school. You will only need to set up this table once, and if the same codes are used in more than one school in your district the master can be distributed to the various schools. -- part contents for card part 8 ----- text ----- Once the master ‘Period to Daily Link’ table is complete, daily attendance codes can be calculated from the period codes by selecting ‘Calculate Daily from Period…’. This process may be performed at the end of each period or day, or whenever you need daily attendance codes. -- part contents for card part 9 ----- text ----- Mac School also has the ability to display a single student’s attendance. -- part contents for card part 10 ----- text ----- When it comes to Report Card time at your school - Mac School can quickly update the classes for each student’s term marks file with his or her period attendance. This means that if you have used the Scheduler to create your classes and you are keeping period by period attendance or class attendance, the student’s class attendance can be updated to their term marks file in the Report Cards module very easily. -- part contents for card part 11 ----- text ----- After selecting the term and the classes you want the period attendance to upload, the information will be transfered to the Report Cards module where it can then be printed on students’ report cards. -- part contents for card part 12 ----- text ----- Mac School and Attendance Reporting. Mac School features two types of attendance reporting. They are: • Hardwired reports - reports built into the sytem, and • Custom designed reports - reports that are designed by the user. For all reports you have the choice of three output devices; the screen, a printer, or a disk file. The following report is an example of one of the Attendance modules hardwired reports. -- part contents for card part 13 ----- text ----- Hardwired reports such as the Exception Report also offer you the flexibility to define your own parameters. You can use the Exception Report to track student attendance trends. For example, you can set the dialog so that it will track students who are in homerooms 102, 107, and 112 who are in Grade 11 or 12 and who have had the daily code of ‘In School Suspension’ between 1 and 4 times in the month of January. -- part contents for card part 14 ----- text ----- Other Attendance reports include State reports which are being added continuously and custom reports which can be seen in the Report Manager section of this demonstration.
